Archivist Report

As always time has a way of slipping bye. There have been several gatherings @ the Archives building by your trusted servants this past quarter. Tom N., Herb H., Jeff G., David L., have all been there at once. Each Saturday except the fifth Saturday of the month there should have been someone opening the Archives up for any visitors. As noted on page 2 we received a 500 gig hard drive from Donna M. This is great when we have individuals step up and offer to make donations that will improve our efficiency. Jeff G. now has the space to begin the tedious work of transferring tapes to digital. Don't get to excited as this is a long term very slow process. It takes real time and lots of effort to make the changes The website expenses have rolled around again. Nothing has changed and we have in the past tried to let the outgoing committee prepay these expenses for two years so that we don't have to reinvent the wheel or make changes that offer a savings of 23 cents a month when we have done the homework and gotten something chiseled in stone. We have already paid for two years domain name renewal which was $30.00. As I write this the server space is due ad will be paid in the next few days. $93.24 for the next two years. This lets the new committee members not have to deal with this and by the time it is due again they will be armed with enough facts to not make any major changes that will effect all the work that has been put into it in the past.
Joe C. had arrangements at Charlie M.'s. Memorial Service to pick up any AA related stuff that the family was willing to give to Area 64 Archives. These items were picked up immediately after the service. They were transported to 801 North Maney where they sat for the next month and were inventoried by three members of our committee. They have been stored in a temporary status until time and willingness come together. As a result of the untimely way things do happen it should be noted that we as a committee should be very aware of the timing and sensitiveness of a death of one of our AA members. We are in the process of making a letter of condolence that can be sent to the family of a deceased member and send them information that will explain Area 64 Archives and what we can do with the passed members AA materials if the family wishes to donate anything. As much as we would like to think that these AA materials will make their way back to Archives this is just not so. I have heard it said many times that this belongs to AA give it up. Well amongst ourselves that is well and good, but when it comes to families of AA members it is a whole different thing. These materials that did belong to the AA member became the property of the next of kin and if there was a will that defined what was to be done with these materials. Many times these things are discarded because family members did not know what could be done with these things. It is a sensitive time for all when death comes. Lets not be guilty of rushing the process and offending someone who has just lost their son or daughter, brother, sister, dad. The letter of condolence will be standard that we can fill in the names and dates. We might be surprised how many people will be glad to know that there is a place for these materials.
Communication these days should not be a problem. We have cell phones, email, snail mail, and it seems that we still have a hard time getting thru to each other. Today is 07/12/2007 and I have just gotten one report for this newsletter. All reports should find their way to my email box at least 10 days prior to the next Area Assembly. This allows a little time and not to be rushed at the last minute as it takes quite a lot of time to print and sort, staple these newsletters together.
